**Tender Management**
+ Support end-to-end tender activities across the APAC region, including Requests for Proposals (RFPs) and Requests for Quotations (RFQs).
+ Assist in preparing pricing matrices, proposal documentation and submission materials in accordance with tender requirements and deadlines.
+ Coordinate with internal stakeholders to gather required operational, commercial and pricing information for tender submissions.
**Pricing Analysis**
+ Analyse transportation, logistics and distribution cost structures to support pricing recommendations.
+ Consolidate and validate pricing inputs from Procurement, Operations and Sales teams to ensure accuracy and competitiveness.
+ Assist in developing pricing strategies aligned with customer requirements and company objectives.
**Stakeholder Coordination**
+ Work closely with Sales, Key Account Management, Procurement, Finance and Operations teams to ensure timely and complete tender responses.
+ Support internal pricing review processes with relevant stakeholders for qualified business opportunities.
**Knowledge Management**
+ Maintain and update pricing databases and tender documentation to support future bids.
+ Support the development of internal knowledge resources related to transportation rates, logistics costs and market benchmarks.
**Post-Tender Analysis**
+ Assist in conducting post-bid analysis for submitted tenders.
+ Collect and document feedback from bid owners or customers on both successful and unsuccessful bids.
+ Share insights internally to support continuous improvement in tender strategy.

**Key Responsibilities**
+ Documentation & Compliance
+ Generate and review airline bills, motor carrier bills of lading (BOL), export/import declarations, NAFTA/USMCA forms, and other domestic paperwork.
+ Maintain accurate records to meet corporate standards and regulatory requirements.
+ Shipment Routing & Optimisation
+ Select the optimal mode of transport (ground, air, courier) for all U.S. and cross-border Canadian shipments.
+ Analyse cost-time trade-offs to balance service levels with budget objectives.
+ Rate Negotiation & Carrier Management
+ Negotiate competitive rates and service agreements with motor carriers, freight forwarders, and couriers (e.g., UPS, DHL, FedEx).
+ Monitor carrier performance and recommend partnerships that drive cost savings and reliability.
+ Brokerage Coordination
+ Liaise daily with customs brokers to provide import documentation, track entries, and expedite clearance for inbound shipments.
+ Troubleshoot and resolve brokerage issues to avoid delays or penalties.
+ Sales Support & Quoting
+ Partner with domestic sales to gather weight/dimension data, prepare accurate freight quotes, and recommend the most economical carriers.
+ Empower sales teams with timely shipping insights and potential cost-saving strategies.
+ Freight Bill Auditing
+ Audit domestic freight invoices for accuracy, identify billing discrepancies, and liaise with carriers to dispute or adjust charges.
+ Track audit outcomes and contribute to ongoing cost-control initiatives.
+ Customer Service & Issue Resolution
+ Act as the primary point of contact for client inquiries and shipment status updates.
+ Investigate service failures or complaints, propose corrective actions, and follow through to client satisfaction.
+ Relationship Management
+ Build and maintain strong, trust-based relationships with internal teams and external partners.
+ Consistently deliver exceptional service to strengthen customer loyalty.

**1) Spot Bid Execution & Coordination**
+ Manage and execute spot bid requests across digital platforms (Ariba / GoComet / Coupa / Zycus), ensuring on-time and compliant submissions.
+ Coordinate closely with overseas offices, agents, and partners to collect air & ocean spot rates under tight timelines.
+ Proactively follow up on pending rates and missing inputs to avoid delays or disqualification.
+ Validate rate structures, assumptions, and service scope to ensure competitiveness and accuracy before submission.
+ Ensure same-day execution of time-sensitive spot bids through real-time coordination within defined working hours.
**2) Speed, Quality & Win Ratio Focus**
+ Balance speed and pricing quality in fast-turnaround bidding environments.
+ Track bid outcomes (win/loss/no-bid) and support basic analysis to improve future competitiveness.
+ Flag market challenges, capacity issues, or non-competitive lanes early to the pricing lead.
+ Identify recurring gaps in rate inputs, lane coverage, or response time, and propose practical improvements to raise bid effectiveness.
**3) Internal Communication & Reliability**
+ Act as a dependable primary execution point for regional pricing leads during designated working hours, allowing senior resources to focus on strategy and negotiations.
+ Maintain structured records of spot bids, deadlines, assumptions, rates, and outcomes for reference and reporting.
+ Provide continuity of execution during peak bidding periods and team leave cycles.
+ Support ad-hoc urgent pricing tasks as business requires.

+ Strong Excel skills and comfortable managing rate data, validating rate structures, and maintaining bid trackers.
+ Experience with Ariba, GoComet, Coupa, Zycus, or similar digital procurement platforms will be a strong advantage.
+ Diploma or degree in Logistics, Supply Chain, Business, or a related discipline preferred.
