About The Role

What You’ll Be Doing

  • Event Planning & Execution: Manage end-to-end logistics for corporate, educational, and community events, including venue management, vendor coordination, attendee registration, and on-site set up/packdown support etc
  • Stakeholder Collaboration: Work with internal teams and external partners to align event objectives with business goals.
  • Budget & Timeline Management: Supports event budgets, and ensure timely execution within scope.
  • Marketing & Promotion: Support event marketing strategies, including email campaigns, social media promotion, and post-event follow-ups to maximize engagement.
  • Attendee Experience: Ensure smooth event operations, troubleshoot issues, and gather feedback to continuously improve future events.
  • Tech & Innovation Integration: Leverage digital tools and platforms to enhance virtual/hybrid event experiences.
  • Performance Tracking: Measure event success through KPIs (attendance, engagement, lead generation) and provide post-event reports.

Requirements

  • 2-5+ years of experience in event coordination, preferably in education, tech, or corporate training.
  • Strong project management skills with the ability to multitask and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills; fluency in English and Cantonese is a plus.
  • Creative problem-solver with a keen eye for detail and attendee experience.
  • Passion for education, technology, and community-building.
  • Adaptable, comfortable with ambiguity and willing to learn.
  • Ability to work flexibly, including occasional evenings/weekends for events.
  • Humble team player prepared for a fast pace environment
  • Fluent in English and Cantonese with excellent written and verbal communication skills
  • Experience working in a dynamic, high-growth environment is preferable

About the Role

As an Event Sales Coordinator, you'll play a vital role in supporting the Head of Events and Operations, managing daily booking inquiries, and ensuring the successful planning and execution of every event. You'll be the key link between our clients, our kitchen, our store and our operations team.

Responsibilities

*Assist in management of incoming event inquiries, prepare agreements and response timely responses.

*Prepare and manage invoices, deposit schedules, and balance collection.

*Coordinate with Chefs and the storeroom to ensure the correct equipment and utensils are packed for each event.

*Prepare event materials, including food labels, food cards, menus and floor plan etc.

*Ensure all event equipment is presentable and well-maintained.

*Maintain an organized filing system and e-library.

*Accurately record sales activities and update the system with any changes.

*Manage the drivers' weekly schedule to ensure timely deliveries.

*Assist the Head of Events and Operations with other tasks as needed.

Requirements

*Degree in hospitality management or a related field.

*Minimum 2 years of relevant experience in the catering industry (preferred).

*Excellent organizational and multitasking skills with exceptional attention to detail.

*Strong communication skills (verbal and written) in both English and Chinese.

*Excellent guest service skills and a professional presentation.

*Ability to thrive in a fast-paced environment and work under pressure to meet deadlines.

Purpose of the role

Accountabilities

  • End to end management all aspects of event logistics, including format proposal, all venue and vendor selection and management, production management, content development, delegate, host and speaker management and on site co-ordination of these, as needed.
  • Management of the hospitality programme, through Barclays-owned sponsorship assets, contracted memberships and adhoc brokering for clients and internal stakeholders, where applicable.
  • Understanding of and adherence to all applicable internal controls throughout the planning process as well as identifying and mitigating potential areas of risk.
  • Post event or hospitality assessments to analyse the success of each initiative and identify areas for improvement.
  • Expert advisor and partner to stakeholders and hosts to ensure event delivery meets their aims and objectives, in certain cases.
  • Build and maintenance of industry relationships with suppliers and industry experts to stay at the forefront of event & hospitality trends, technology advances, new openings and best practices, where applicable.

Essential Duties And Responsibilities

  • Reach and exceed yearly events budget as well as upsell target as assigned.
  • Work closely with the MICE sales team, offering advice regarding logistics to assist in lead conversion, VIP site inspections and key opportunities, in an effort to maximize hotel revenue.
  • Professionally manage all assigned group or events bookings from contract handover to completion, including food & beverage and bedroom elements.
  • Conduct an informative handover with the MICE sales team and Event Sales team for a seamless and timely introduction to the clients.
  • Qualify additional event space requests while balancing and maintaining appreciation of overall business with price integrity.
  • Candidate with more experience will be considered as Senior Event Planning Manager

Requirements

  • Minimum 5 years’ experience in a sizeable luxury hotel and catering group with 2 years in similar capacity
  • Detail oriented, organized and able to handle a fast paced environment
  • Possess excellent guest services skills, professional presentation and sophisticated interpersonal skills
  • Excellent verbal billingual communication skills is a must (both English and Chinese)
  • Candidates with less experience will be considered as Event Planning Manager

The Job

You will

  • Support the Line Manager in implementing customer wagering strategies aligned with the Club's objectives to uplift overall customer satisfaction across different touch points.
  • Assist the manager in developing and implementing effective CRM programs and in organizing and attending racecourse events to cultivate customers' sports wagering interests.
  • Analyze customer feedback and all sources of customer data strategically, providing insights to formulate evaluation reports and develop effective customer campaigns.
  • Assist in business proposals, report writing, and budget planning.
  • Execute marketing operational plans, including procurement requests, production of marketing materials, data analysis, coordination with external vendors, and communication delivery.
  • Oversee event logistics in coordination with agencies, production houses, and internal stakeholders to ensure smooth operations (working on weekends if needed).
  • Perform general marketing administrative duties such as invoice processing, data entry, market research, program clipping, meeting preparation, and reporting.
  • Ensure compliance with the Responsible Gambling Policy and all stipulated legal requirements pertaining to wagering, thereby protecting the integrity of the Club's businesses.
  • Undertake other duties as assigned by the Line Manager.


About You

You should have

  • Bachelor degree preferably in Marketing or related discipline
  • A minimum of 4 years’ relevant experience in Marketing / Event Management
  • Creative, attentive and independent with team-work spirit
  • Ability to handle multiple projects simultaneously
  • Good interpersonal and communication skills with proficiency in both written and spoken English and Chinese
  • Proficiency in MS Office applications: MS Word, Excel, PowerPoint, etc.
  • Knowledge of Horse Racing is an advantage

The level of appointment will be commensurate with qualification and experience.
