About the role
The role of the Procurement Officer is primarily responsible for procurement and inventory functions for the school. Key responsibilities include working with internal departments to understand needs, processing purchase requests, and managing relationships with vendors to secure favorable terms and pricing. The position is also responsible for budget control, invoice reconciliation, digitizing the procurement process to enhance efficiency and other administrative work as needed.
What you will be doing
- Work with the Facility Management team (JLL) to identify the need for the small repairs and callouts. Provide at least 3 quotations for comparison with more than HK$5,000 repair or replacement and make recommendations to management.
- Keep track of all the purchases made by JLL and their warranty period to ensure no purchase raised by JLL is made with warranty coverage.
- Reconcile all invoices from JLL with proper approvals before passing it to Finance department for payment.
- Lead the digitalisation of procurement process and participate in the UAT

THE JOB
Reporting to the Assistant Procurement Manager (APM), the Procurement Officer will be responsible for the following duties:
- Work with APM and procurement colleagues to complete duties as needed
- Assist in the tendering exercise inclusive of preparing tender invitation documents and administration;
- Process purchase requests for bidding exercises and to evaluate and accredit prospective suppliers/service providers following bidding process;
- Prepare for purchase orders and monitor of suppliers qualifications, deliveries and performance;
- Assist in the operations of the Electronic Procurement System;
- Gather updated market information and identify potential suppliers for specific purchases;
- Assist in the supervision of Procurement Assistant;
- Assist in stock replenishment and ensure the stock level meets operation needs; and
- Supervise the Supplies Team for smooth receiving and issuing of stock items and other store operations.
- Perform any other appropriate duties as assigned by the supervisor.
THE REQUIREMENTS
- A higher diploma or university degree in Purchasing / Supply Management or a relevant discipline;
- A minimum of 3 years' experience with knowledge in procurement process, policies and procedures;
- Possession of professional qualifications in Purchasing / Supply Management is a valuable asset;
- Strong sourcing and communication skills;
- Ability to work under pressure, independent, handle multiple category of products and as part of a team;
- Excellent command of both spoken and written English and Chinese. Ability to speak Putonghua is preferable; and
- Proficient in MS-Word, Excel and Chinese Word Processing.

- Control and monitor expenses against approved budgets
- Evaluate vendor proposals and negotiate contracts to ensure the best possible pricing and terms
- Maintain good relationships with suppliers and renegotiate prices on a regular basis
- Keep good track of record for all vendor including contacts, payment terms and any ongoing negotiation in place.

- Receive, inspect and distribute orders as well as reconcile or resolve order discrepancies with supplies.
- Coordinate annual summer purchases from local or overseas.

- Collaborate with other members of the purchasing team from other countries within Asia Region to share best practices and identify opportunities for process improvement
Office Administrator:
- Manage filing, documentation, printing of documents, claims
- Provide general school administrative support

Position Requirements
