Role Description
We are on the lookout for a dedicated and motivated Procurement & Operations Officer to join our dynamic, innovative, expanding team and reporting to the Head of Procurement. This role is pivotal in ensuring the efficient and cost-effective procurement of products from our suppliers and the smooth operation of our supply chain. The successful candidate will be responsible for:
- Managing relationships with suppliers: responsible for purchasing products and purchase management with factories in China and Vietnam.
- Logistics: Coordinating the delivery of products from our factories to customers both locally in Hong Kong and internationally.
- Account management: being the primary contact person for existing client accounts, receiving purchase orders, negotiating contracts and pricing and managing delivery schedules.
- Quotations: Preparing quotations for new and existing customers.
- Custom Design and Artwork: Coordinating with suppliers and customers to ensure custom products meet design specifications and sustainability guidelines.
- Product innovation: assisting in design and procurement of new sustainabe products working with existing and new suppliers and negotiating favourable pricing terms.
- Quality control: ensuring our products maintain best in class sustainable materials, managing product testing and certifiactions.
- Financial Managemnet: issuing monthly customer account statements requesting timely payments of invoices.
- Inventory Oversight: Managing inventory levels, samples stock and re-ordering of products to ensure timely restocking and deliveries.
Qualifications/experience:
We are looking for a motivated, positive, team player with a "can do' attitude and a keen interest in sustainability:
- Experience: 2+ years experience with procurement, logistics and supply chainwould be preferred, ideally in a related field (or equivalent experience). Experience in opertations and account management would be beneficial.
- Analytical skills: Very strong organisational skills, proficiency working with numbers and attention to detail are essential for this role.
- Team player: Ability to work collaboratively in a dynamic team environment.
- Self-motivated: positive, hard working, self-motivated and comfortable managing workload independently and efficiently with minimal supervision.
- Communication / Languages: E xcellent communication, negotiation and presentation skills.
- Languages: Fluent / business level in spoken and written English, Cantonese and Mandarin.
- IT/Technical: Proficiency in using Google Suite, Excel/Sheets, Word. Experience with. Xero, Hubspot and Trello a bonus.
- Education: Tertiary education is preferable but not essential.

Strategic Procurement Services (STS)
STS as a key driver of the bank's day-to-day supply chain, delivers commercial value in all aspects of procurement, we understand the bank's operational and procurement needs, and structure comprehensive solutions that ensure efficient and excellent operations.
We are currently seeking a high caliber professional to join our team as Senior Procurement Operation Manager , reporting to Head of Procurement.
Principal Responsibilities
- Oversee onshore and offshore procurement operational service teams to manage and drive timely and effective invoice processing, Travel & Expenses processing, operational procurement, resource management, transactional sourcing during the overall Procure-to-Pay processes in compliance with policies and procedures.
- Maintain accurate financial records and reconciliations/ substantiation with appropriate remediation and driving continuous improvement through process re-engineering and controlling with stakeholder management
- Support internal and external audit reviews, and drive remediation plans as needed.
- Act as primary representative (Third Party Engagement Manager ‘TPEM’) to manage the departmental risks and controls related matters.
- Prepare and present the required KPI or performance on procurement operation to senior management for reporting.
- Perform any other duties as assigned.
- Degree in Finance, Accounting or, in related discipline
- With 10 years’ experience in Finance, Accounts Payable and/or Business Management with at least 5 years in managerial role
- Experience in Procure-to-Pay implementation, adherence on global Standard Operating Procedures (SOP) and change initiatives
- Diplomatic and effective communication skills, with strong collaboration abilities and problem-solving skills
- Proficiency in using Oracle Fusion, Coupa, advanced MS Excel, and PowerPoint are advantage
- Solid experience in procurement field is preferable
- Good command in both spoken and written English and Chinese
- Immediate availability is highly desirable.

- Experience in using Oracle system is preferable
- Good communication, coordination and interpersonal skills
- Good analytical, problem solving and negotiation skills
- Work independently and multitasking
- Good command of spoken and written English, Mandarin and Cantonese

- Goods return and scrap management
Shipment:
- Provide updates to internal stakeholders on shipment status;
- Coordinate with 3PLs to ensure proper inbound process with agreed lead time;
- Work closely with multiples forwarders for arranging inbound freight to warehouse;
- Full responsibility on shipping document management and traceability on shipment records;
- Import license preparation and declaration application in due course to meet customs requirement
- Analyzes inventory level to execute order creation in ERP for stock replenishment
- Making decision on releasing backorders based on inventory level
- Closely monitor outstanding orders and ensure delivery as per requested schedule with 3PL team

- Follow up contract/ agreement with vendor on regular basis;
- Process all logistics related invoice for Hong Kong vendors;
- Proficiency in MS-Excel and PowerPoint
- Knowledge of supply chain management principles and practices, particularly in logistics and transportation.
- A minimum of 5 years in all rounded experience in shipping , inventory management experience is advantage;
- Solid experience in ERP system, SAP is preferrable;
- Ability to effectively communicate both verbally and in writing to peers and management;
- Demonstrated ability and willingness to pick up ad hoc tasks; with a can-do attitude;
- Attention to detail; with the ability to identify gaps and discrepancies;
- Multi-tasks, prioritizes and meets deadlines in timely manner;
- Business level English communication skills required;
- Ideally holds a relevant university degree
