ROLE OVERVIEW / KEY RESPONSIBILITIES

  • Responsible for overseeing daily local distribution and logistics operations and providing comprehensive supply chain and logistics support.
  • The main objective is to maximize operational effectiveness and organizational efficiency by streamlining procedures and ensuring compliance.
  • Ensuring that third parties handle the company products in accordance with the company standards and regulations.
  • Primary relationship with local logistics 3PL, Business team, support functions (Regional D&L, PH, DFP,OM, IMQ and D&L Quality).
  • Support SCM Lead for facilitate in market Tier 2, S&OP, New Products Planning and Regulatory changes to ensure supply continuity for inline as well as pipeline products.
  • Ensure compliance to Regulatory requirements pertaining to Good Distribution Practices, Good Importation Practices, Customs clearance, International Trade and Internal processes .
  • Participate and support various audits conducted by internal/external compliance group

Key Accountabilities

  • Inbound & Outbound Logistics Management.
  • Collaborate with Demand Fulfilment Planner (DFP), Global Freight Forwarders (GFF), Market CM Lead and
  • 3PL/Distributor for all incoming shipments and timebound custom clearance.
  • Support and co-ordinate with third-party logistics (3PL) providers to implement standard operating
  • procedures (SOPs) for brokerage and customs clearance services, ensuring adherence to international trade
  • regulations.
  • Collaborate with brokers and GFF to prepare regulatory compliant do cumentation for customs clearance.
  • Collaborate with Global Trade Compliance (GTC), Custom of HKSAR, GFF, 3PL/Distributor to ensure
  • timebound and compliant customs clearance.
  • Collaborate with 3PLs in executing order preparations based on compliance, SOPs, a nd product categories
  • (e.g., air-conditioned/cold, finished products).
  • Monitor local storage conditions aligned with market distribution model and help reduce CO2 emissions.
  • Support the 3PL / Distributor operations team to ensure smooth inbound and outboun d processes with
  • adherence to key performance indicators (KPIs) and service level agreements (SLAs).
  • Inventory Management
  • Support to develop and implement local inventory movement processes at 3PL/Distributor warehouse
  • (Physical / System Inventory movement) in compliance to GMP & GDP standard.
  • Collaborate with In-Market Quality (IMQ) to determine stock locations based on business and quality
  • requirements.
  • Support Regulatory team to prepare Redressing Change Requests (RCRs) to manage local stock with safety
  • label updates (SLU) and compliance with the company SOPs.
  • Carryout inventory reconciliation between the company and 3PL systems.
  • Sales & Operation support
  • Assist, Market SCM Lead to facilitate local S&OP meetings, provide data analysis for inventory
  • planning and ensuring appropriate local inventory levels to support business operations efficiently.
  • Support implementation of local policies relating to local Supply Chain Management.
  • Coordinate with 3PL to ensure effective communication with BU for product change notifications to
  • customers.
  • Coordinate for logistics services to support Product Quality Complaint (PQC) related export
  • shipments.
  • Support and coordinate with 3PL / Distributors to collect the Product Quality Complaints related
  • stocks.
  • Project Management
  • Support Market SCM Lead to design & develop data analysis to support costs optimization.
  • Support and participate in projects to support local business and for Supply Chain operations.
  • Be a part of implementation team for local and regional Supply Chain initiatives.
  • Audits & Self-Inspections
  • Support IMQ and RA team for various audit and manage CAPA If required.
  • Support and collaborate with IMQ for Self-Inspection planning, execution, documentation, and
  • communication.
  • Financial Management
  • Support regular updates related to inventory status for financial reconciliations.
  • Calculate brokerage services and last mile delivery accruals, monthly forecast, comparison of forecast
  • VS actual spending.
  • Propose inventory provisions for financial updates on quarterly basis.
  • Review on monthly basis the 3PL / Distributor services fees based on terms & conditions in agreement.
  • Secure and support all team members' training on time included quality training and my learning.

Required Competencies / Qualifications
Educational Background

  • Bachelor's degree in any discipline; preference for Pharmacy, Engineering, or Supply Chain Management.

Language & Communication

  • Excellent command of English, both written and verbal.
  • Strong interpersonal and communication skills.

Technical Proficiency

  • Advanced skills in Microsoft Office Suite (Excel, PowerPoint), SAP, and Power BI.

Business Function

Technology and Operations (T&O) enables and empowers the bank with an efficient, nimble and resilient infrastructure through a strategic focus on productivity, quality & control, technology, people capability and innovation. In T&O, we manage the majority of the Bank's operational processes and inspire to delight our business partners through our multiple banking delivery channels.

Job Objective

  • Lead and manage the section to ensure delivery of account services and processing at an efficient and cost-effective manner while maintaining high quality and sound risk control according to established procedures, bank policies and service standards
  • Organize and train up a capable team to handle the section's activities
  • Make continuous improvement in the processes by using new technology and process re-engineering

Principal Responsibilities

Process Management

  • Ensure activities of the section are completed as per established procedures, policies and guidelines, within specified standards of quality, agreed service level
  • Review, recommend and develop action plan for streamlining operational procedures, increasing productivity, enhancing operational control, achieving resource utilization (for surge of volume) by means of Management Tool Kit (MTK) continuously
  • Recommend and implement appropriate actions in response to regulatory and related developments that impact operation guidelines and procedures

Compliance and Risk Management

  • Adhere, provide guidance and ensure the members/section comply with the rules, guidelines and regulatory requirement of the Bank, HKMA, MAS, etc. pertaining to the operation
  • Escalate exceptional/outstanding/suspicious transactions to SVP, Corporate Services/ED, Head of IBG Operations and other relevant parties where appropriate for necessarily follow up action per the Enhanced Incident Escalation/Incident Management Policy

Team Management

  • Provide direction by setting Key Performance Indicators for staff and monitor, appraise actual performance against targets
  • Coach and develop subordinates and guide them in completing their responsibilities
  • Promote and encourage open and good communication amongst all levels of staff with care, respect and honesty
  • Attract and select right people for the section and integrate new staff members to fit into DBS values, culture and practices

Project Management and Others

  • Liaise and work with Technology to improve and optimize on the use of the Bank's operating systems
  • Manage working relationships with internal/external service partners to ensure that a seamless process flow for loan operations, and to support their initiatives for revenue generation and market share expansion

Requirement

  • Post-secondary Education or above
  • 10 years of relevant working experience in banking operations
  • Knowledge and experience of banking operations and account services processing
  • Cash products' knowledge
  • Operational skills and knowledge
  • Accuracy and thoroughness in work
  • Good sense of risk control
  • Result and customer service oriented
  • Positive attitude, self-motivated, creative and innovative
  • Good interpersonal and problem-solving skills
  • Good team player, supportive and flexible to take up departmental tasks
  • Good in both written and spoken English
  • Good PC knowledge and skills
