- Prepare fee proposals, project memos, correspondence, contracts and schedules for professional services.
- Schedule external meetings.
- Generate project accounting and labor reports.
- Prepare marketing-related efforts.
- Schedule client meetings and record meeting minutes for review by Project Manager.
- Prepare appropriate billings to ensure payment compliance. Maintain work plans in Vision for review with Project Manager and Project Accountant.
- Verify and maintain records of certificates of insurance, internally and externally.
- Facilitate progress action items during CD, tender and CA phases.
- Maintain, review, update and archive project data (in various mediums including but not limited to hard copy project files, network drives, Google project drives, Salesforce, OpenAsset.)
- Identify, organize and implement administrative projects independently in accordance with deadlines and delegate as appropriate.
- Maintain multiple schedules, both individual and project specific and perform various support duties, including completion of expense reports, time cards and team travel arrangements.
- Provide administrative support for senior leaders and project teams.
- Guide and develop new hires on full scope of the project implementation role.
- Bachelor’s degree at a minimum.
- Minimum 4 years’ professional work experience in an office environment working with and as part of a team. Prior experience in architecture, engineering or construction is highly desirable.
- Strong proofreading skills.
- Exceptional written and communication skills.
- A proven work ethic and the ability to anticipate needs, service clients, initiate decisions and coordinate the activities of others.
- Prior financial, accounting or bookkeeping experience.
- Strong command of Google Workspace, Microsoft programs, especially Word and Excel and Salesforce.

- Excellent communication, negotiation and analytical skills required, able to balance the competing requirements of a wide variety of stakeholders and yet meeting delivery timeline and budget.
- Able to make decision independently as well as familiar with local statutory requirements, building codes and submission procedures.
- Fluent in both English and Chinese.

Project Healthiness, PL Performance, and Workforce Analysis
- Evaluate project healthiness by analyzing financial and operational data to identify potential risks and improvement areas.
- Monitor and assess PL performance, providing insights and recommendations to enhance profitability and efficiency.
- Conduct workforce analysis to optimize resource allocation and support decision-making.
- Analyze datasets to uncover trends, patterns, and opportunities for business improvement.
- Design and prepare regular reports and interactive dashboards to deliver actionable insights into KPIs for management and stakeholders.
- Leverage advanced Excel modeling and data mining techniques, with Python or VBA macro programming as a plus.
- Create and maintain comprehensive documentation of business processes, project deliverables, and analysis methodologies.
- Utilize data analytics tools such as Excel, Power BI, and cloud databases to enhance analysis and reporting capabilities.
- Bachelor’s degree in business, Business Analytics, Statistics, or related disciplines.
- 5 years or more experience in business analysis, preferably within a sizable MNC.
- Strong statistical and analytical background with excellent numeric sense and experience working with data in various formats and sources.
- Solid expertise in data analysis tools such as Excel (including advanced modeling), Power BI, and cloud database data mining. Python or VBA macro programming is a plus.
- Proven ability to analyze PL performance, workforce data, and other business metrics to provide actionable insights.
- Strong business acumen, attention to detail, and the ability to deliver results in an agile environment.
- Good communication and presentation skills, capable of conveying complex information clearly to stakeholders.
- Detail-oriented and able to work independently as well as collaboratively in a fast-paced environment.
- Proficiency in MS Excel and PowerPoint.
- Excellent command of spoken and written English and Chinese (Cantonese proficiency preferred).

Job Description
- Provide onsite monitoring of Contractor Health & Safety works, activities and behaviours. Check they are in accordance with the approved Method Statement and Construction Health & Safety (H&S) Plan and requirements.
- Provide direct advice and engagement to the Contractors site supervisors and Safety Officers to address non compliances.
- Review and check the Contractors work is in compliance against H&S documentation; including but not limited to – Method Statement, Risk Assessment, daily Permit to Work, H&S daily briefing etc.
- Undertake regular site walks / site presence to monitor work is being carried out in accordance with project plans, house rules, specifications, quality standards and H&S policies on site.
- Represent the Client for statutory H&S administration & coordination with Contractor.
- Coordinate with Client and FM’s team in respect to assisting contractor with building access, preparation of Method Statements, Risk Assessments & Permit to Work applications, seeking approvals and managing communications between the Contractors and the Project Manager.
- Review H&S documentation provided by the Contractors and provide feedback / advice to the Project Manager and Client H&S Team.
- Produce weekly observation reports, recording near miss observations and incidents in accordance with the Clients Standard Operational Procedures.
- Chair Weekly H&S meeting (with documented record) to identify key H&S risks and Contractor actions.
- Produce a monthly H&S report on contractor performance, identify areas of improvement by analysing the data collected by means of on-site monitoring, etc. and attend monthly Client reporting meeting, together with Client’s H&S team.
- Site coordination between Contractor, Project Manager and Project Stakeholders in respect to assessment of design changes during construction to ensure Client requirements are captured and implemented in a timely fashion, whilst also undertaken in accordance with change control procedures.
- Carrying out surveillance checks on site delivery of contractor supplied materials & equipment including checking of inventory and specifications in accordance with Contract & Specification.
- Management and coordination of Testing and Commissioning (T&C) including reporting of T&C progress and activities, as well as pre-handover inspections to the Project Manager highlighting any key issues observed on site.
- Coordinate and manage placement of bookings for Guard Services & Engineering Technicians for the works, with the Client FM team based on schedules agreed with the Project Manager.
- On Site Incident Management (if required) – Advise the Project Manager on incident report preparation, cause and mitigation review, including post incident management communications and lessons learned, to Project Manager & Client H&S team
- As necessary, attend out-of-hours site inspections and meetings; to suit the project programme requirements.
- Holder of Certificate or Diploma in construction or engineering related disciplines. Holder of Certificate in Health & Safety for Supervisors (Construction) under Hong Kong OSHC preferred.
- Registered Safety Officer with Hong Kong Labour Department is an advantage.
- A minimum of 5 years’ experience of Construction supervision and Health & Safety monitoring in construction & fitting out works within the retail banking sector, branches, ATMs as well as residential works, including interior renovations and external works.
- Native in Cantonese, with good command of written & spoken English.
