Events Marketing is a global team supporting Morgan Stanley businesses worldwide to plan and execute exceptional client events. The Marketing organisation is part of Integrated Firm Management, which drives coordination and commercial outcomes across our businesses as we consistently and systematically deliver Morgan Stanley to all our clients globally.
Key Responsibilities
> To build and maintain a strong, productive relationship with the Corporate Access Team within Institutional Securities, while also implementing a wide range of client facing and internal conferences, both in-person and virtual across all Business Units.
> Planning and executing a broad range of Firmwide conferences and events, including flagship and C-suite level conferences and events
> Working as part of a team for larger conferences, either as lead or on specific elements eg. Dinners/satellite events, client liaison, onsite staff and vendor management
> Advisory to business hosts, thinking creatively to identify solutions that meet their needs whilst adhering to best practices and procedures, including budget approval, client data management, compliance, contracts and risk management, data protection, brand, timeline planning etc
> Management and development of key supplier relationships; ensuring delivery of services are met / exceeded. Actively manage cost negotiation with supply chain.
> Ownership of budget throughout event lifecycle. Create and maintain detailed excel budget through event lifecycle and follow appropriate escalations where necessary. Timely and accurate invoice tracking and processing.
> Propose and implement best practice invitation process, working with BU to create invitee lists in optimal format. Working with Web team to build Firm branded websites and mobile applications.
> External Speaker research and management: maintain relationships with speaker agencies, understand risks and seek internal approvals, contracting, briefing calls and logistics
> Sound knowledge and adherence to all Legal & Compliance Department and Anti-Corruption Group requirements, including managing participation of Government Officials. Ownership of invitee pre-approval process, transparency letters, etc.
> Collaborating with Sourcing & Legal around contract process, using and tracking Morgan Stanley MSA's and addendums as appropriate
> Working with Design Studio to create timeline for save the dates, invitations, agendas, speaker information packs, website branding, print collateral and other marketing materials
> Detailed liaison and co-ordination with internal audio-visual team: pre-production, set & staging, webcasting, presentation release (in conjunction with business legal teams), mobile & social media applications etc
> Facilitate effective sharing of appropriate information by ensuring all reporting requirements are accurate and met on a timely basis (eg. event reports, time tracking, savings and value adds)
> Host post event de-brief, provide reporting & feedback analysis. Scheduling dates for following year and instigating event planning cycle.
Key Strengths Required
> Minimum 8 years related experience in event planning in the Investment Banking industry, including leading key franchise events
> Proven ability to engage with and influence senior stakeholders and clients
> Ability to lead, innovate, propose solutions, influence, make and own decisions
> Excellent knowledge of 5* venues and relevant vendor relationships
> Good working knowledge of and interest in Event Tech
> Ability to multi-task and prioritise workload, working under pressure to deadlines whilst maintaining a high standard of accuracy
> Flexible and willing to work long hours (evenings, weekends) and travel when required
> Strong team player, do what it takes to get the best outcomes and always maintaining high standards of excellence
> Excellent oral and written communication skills
> Proficiency with Excel and Powerpoint

HOW YOU WILL CONTRIBUTE AND LEARN?
- Liaise, lobby and constantly communicate with government departments, major stakeholders, district councils, NGOs, pressure groups and other key stakeholders for solicitation of comments and support for planning and execution of HKTB events and campaigns
- Identify, open the door to, lobby and engage commercial establishments, local community, NSAs, event organisers, etc. for solicitation of comments and support for development of HKTB events and campaigns
- Identify and collaborate with NSAs and event organisers for materialisation of partnership in promoting Hong Kong’s sports and wellness experiences
- Plan, develop and execute physical and digital elements and programmes in order to (1) raise event/ campaign/ core experiences’ awareness, (2) upkeep HK’s visibility, (3) drive local and overseas participation and (4) maintain/ raise event satisfaction in HKTB events and campaigns
- Supervise and monitor event managers/service contractors/supporting organisations for ensuring quality and timely delivery of services required in accordance with the agreed scope of services/ roles and responsibilities
- Process and procure all necessary licenses and permits for staging the event and ensure its compliance with all applicable HK laws and regulations
- Develop operation plans and administer all related process and logistics for staging the agreed event components in accordance with corporate policy
- Keep close contact with third-party event organisers for creating collaboration opportunity and ongoing relationship building in promoting Hong Kong tourism in general
WHO ARE WE LOOKING FOR?
- University graduates, preferably in disciplines of event management/ sports and recreation management/ marketing
- 8 years or above solid experience in event management from planning, programme development, budget monitoring, contractors management to execution stage is preferred
- Proven track records in event marketing, organising and managing large-scale/ territory-wide event and promotional campaign, preferably outdoor sports events/ mass participation events
- Experience in government liaison and stakeholders engagement will be an advantage
- Creative and resourceful connection with commercial establishments, local community and charitable organisations, NGOs, national and community sports organisations
- Excellent organisation, problem solving and time management skills
- Proactive and responsible team player who is capable of handling unexpected changes/ situations in outdoor event preparation and staging
- Excellent presentation and communication skill with internal function teams and external sponsors/ stakeholders to deliver effective promotion via quality collaborations
- Ability to handle multiple tasks and prioritise among assignments, willing to work long hours during event season and to function effectively under pressure
- Understand the latest market trend and generate creative ideas in uplifting event profile and reputation within target market segment
- Ability to give suggestions and drive new initiatives for enhancing event status and participants'/ visitors' satisfaction
- Detail-minded and follow strict guideline when dealing with company’s procurement and legal process

Responsibilities
- Design strategic plan to support the Bank’s Transformation strategies in improving experience of Employees
- Drive people engagement via guiding the team to design/plan arrangement/logistics for delivering employee events such as engagement events, volunteer work, learning activities, and branding initiatives
- Communicate strategic messages from management through organizing internal events and designing internal newsletters & eDMs
- Enable the awareness and capability of members involving in transformation from all levels; including knowledge, skills, practices; in all areas from ability to identify problems, solutions and implementation
- Bridge among various stakeholders from Business, Technology and Operations on assigned projects/ initiatives contributing to DBS business priorities and strategic objectives
- Bachelor or Master degree
- Minimum 5 years working experiences, preferably in areas of event management and project management
- Good strategic mindset and design sense
- Proficient in in Adobe Photoshop, Illustrator, Premiere, video editing
- Professional knowledge and skills preferred; including but not limited to Design Thinking, Human-Centered Design
- Professional certification including Six Sigma Green Belt, PMP, Agile is a plus
- Good communication skills in both written and spoken English and Chinese
- Fast learning and multi-task capability to take on projects in different areas
- Effective time and stakeholder management from different levels across functions
- Innovative and willing to accept new ideas and changes

- Communicate strategic messages from management through organizing internal events and designing internal newsletters & eDMs
- Enable the awareness and capability of members involving in transformation from all levels; including knowledge, skills, practices; in all areas from ability to identify problems, solutions and implementation
- Bridge among various stakeholders from Business, Technology and Operations on assigned projects/ initiatives contributing to DBS business priorities and strategic objectives
- Bachelor or Master degree
- Minimum 5 years working experiences, preferably in areas of event management and project management
- Good strategic mindset and design sense
- Proficient in in Adobe Photoshop, Illustrator, Premiere, video editing
- Professional knowledge and skills preferred; including but not limited to Design Thinking, Human-Centered Design
- Professional certification including Six Sigma Green Belt, PMP, Agile is a plus
- Good communication skills in both written and spoken English and Chinese
- Fast learning and multi-task capability to take on projects in different areas
- Effective time and stakeholder management from different levels across functions

- Contribute to design operation plan and ensure strict adherence to the work schedule and proper delivery and implementation of events
- Support all service procurement processes relates to staging of events covering identification of services required, definition of roles, responsibilities, scope of services of service vendors, identification and engagement of service vendors and ensure all processes comply to HKTB’s policies and guidelines
- Assist in formulating service contracts / legal agreements / insurance with contractors and partners in the best interest of HKTB
- Keep track with production / logistic administration of various event promotion materials, including without limitation to publications / website / sponsor’s exposure etc and to ensure timely delivery of all items
- Administer all logistics and operational duties for the staging and execution of event components assigned to ensure smooth operational of such and in relation to all other event components
- Liaise and coordinate with in-house / external designers for development and production of marketing collaterals, advertisements, souvenir and merchandise development; monitor the work progress of and render supervision to all co-work parties including government departments, public bodies, service vendors and team members to ensure timely and quality execution and delivery of programme elements and draft progress reports as required
- Compile and record event results to facilitate internal communications
- Undertake any other duties / special assignment as directed by supervisors
WHO ARE WE LOOKING FOR?
- University graduate preferably in Event Management / Marketing or relevant disciplines
- With 5 years’ solid experience in event management of large scale of outdoor events is preferred
- Solid experience of liaison with government departments for venue operation and license application
- Capable of overseeing the complete process from concept stage, through event marketing, launch and implementation
- An initiative, responsible and self-disciplined team player with good interpersonal skills
- Good command of written Chinese and English and attentive to details
- Self-starter with good presentation, communication and organisation skills
- Able to deliver quality work under pressure and meet tight deadlines
- Proficiency in PC applications - MS Office, Chinese Word Processing
- Candidate with less experience will be considered as Senior Executive, Event Management
