Qualifications & experience

• Fun character, with in-depth knowledge of the entertainment and leisure industry in Hong Kong.
• Moderate proficiency in using design software such as Canvas, Photoshop, and InDesign to create promotional materials and event designs. An art or design background is preferred.
• Fluent in English and Cantonese
• Strong event/ party planning and execution capabilities, able to handle unexpected situations.
• Keen insights into creative and innovative event ideas to provide personalized party solutions for clients.
• Good team player with a strong sense of responsibility.

Tasks & responsibilities

• Handle client bookings and provide comprehensive consultation to understand their party requirements and budget.
• Develop detailed event planning solutions based on client needs, including venue setup, entertainment activities, catering services, and creating promotional materials using design skills.
• Coordinate with various suppliers such as venues, catering, performers, etc. to ensure the smooth execution of the party event.
• Manage the on-site operations on the day of the event, coordinate the event staff to ensure a seamless event flow.
• Continuously track client feedback and optimize event plans to improve customer satisfaction.
• Participate in the company's marketing activities to actively develop new client resources and create eye-catching promotional designs.

JOB DESCRIPTION

* Participate in event management, preparation, setups, reception tasks, as well as greeting clients

* Handle copy-writing in relation to Event/PR-related materials, such as press release, scripts of speeches etc.

HOW YOU WILL CONTRIBUTE AND LEARN?

• Liaise, lobby and constantly communicate with government departments, major stakeholders, district councils, NGOs, pressure groups and other key stakeholders for solicitation of comments and support for planning and execution of HKTB events and campaigns
• Identify, open the door to, lobby and engage commercial establishments, local community, NSAs, event organisers, etc. for solicitation of comments and support for development of HKTB events and campaigns
• Identify and collaborate with NSAs and event organisers for materialisation of partnership in promoting Hong Kong's sports and wellness experiences
• Plan, develop and execute physical and digital elements and programmes in order to (1) raise event/ campaign/ core experiences' awareness, (2) upkeep HK's visibility, (3) drive local and overseas participation and (4) maintain/ raise event satisfaction in HKTB events and campaigns
• Supervise and monitor event managers/service contractors/supporting organisations for ensuring quality and timely delivery of services required in accordance with the agreed scope of services/ roles and responsibilities
• Process and procure all necessary licenses and permits for staging the event and ensure its compliance with all applicable HK laws and regulations
• Develop operation plans and administer all related process and logistics for staging the agreed event components in accordance with corporate policy
• Keep close contact with third-party event organisers for creating collaboration opportunity and ongoing relationship building in promoting Hong Kong tourism in general

WHO ARE WE LOOKING FOR?

• University graduates, preferably in disciplines of event management/ sports and recreation management/ marketing
• 8 years or above solid experience in event management from planning, programme development, budget monitoring, contractors management to execution stage is preferred
• Proven track records in event marketing, organising and managing large-scale/ territory-wide event and promotional campaign, preferably outdoor sports events/ mass participation events
• Experience in government liaison and stakeholders engagement will be an advantage
• Creative and resourceful connection with commercial establishments, local community and charitable organisations, NGOs, national and community sports organisations
• Excellent organisation, problem solving and time management skills
• Proactive and responsible team player who is capable of handling unexpected changes/ situations in outdoor event preparation and staging
• Excellent presentation and communication skill with internal function teams and external sponsors/ stakeholders to deliver effective promotion via quality collaborations
• Ability to handle multiple tasks and prioritise among assignments, willing to work long hours during event season and to function effectively under pressure

Major Duties:

(a)

To conduct classes and practical training in event management related modules;

(b)

To lead and train students on practical and administrative tasks during Integrated Learning Experience;

(c)

To assist in coordinating and organising events / activities of the Institutes, including but not limited to catering events, competitions, visits, Master Chef culinary demonstrations, themed events and other activities;

(d)

To assist in arranging tours of facilities for guests and overseas visitors to promote the Institutes; and

(e)

To assist in handling enquiries, preparing relevant event proposal / agreement.

Requirements:

(a)

A recognised higher diploma in Event Management / Tourism Management / Hotel Management / Catering Management, or equivalent; preferably with a relevant recognised degree;

(b)

At least 3 years' relevant experience in Event Management / Tourism Management / Hotel Management / Catering Management and / or relevant teaching experience;

(c)

Proficiency in spoken and written English and Chinese and spoken Putonghua;

(d)

Proficiency in computer applications;

(e)

Proactive, positive and possess good interpersonal, communication and organisational skills;

(f)

Ability to work independently and under pressure; and

(g)

Ability to pass a trade test.

Candidates without the required academic qualification stated in the Requirements (a) above but possessing 8 years' work or teaching experience in the relevant industry may also apply. Where applicable, these candidates may be required to have a Qualifications Framework (QF) Level 3 qualification.
