Major Responsibilities
  • Overseeing and coordinating all industry awards and training events.
  • Conduct market research and collate industry events data, compile analysis reports, and update the database.
  • Conduct follow-up calls with targeted/designated organizations.
  • Liaise and maintain relationships with AV suppliers and trophy vendors including coordination on trophy orders.
  • Content update including website administration, content and data upload for event launch, and winner announcements.
  • Work closely with the team and coordinate all events’ logistics, administrative work/project management, and ad hoc assignments.
Requirements
  • A minimum of two (2) years working experience preferably in the advertising/marketing industry, project management but not essential.
  • Excellent command of both spoken and written English; Chinese (Mandarin/Cantonese) is an advantage.
  • Multi-tasking skills: strong time management, organization, administration, and project management.
  • Well-developed written and verbal communication skills.
  • Computer literacy including Microsoft Office, particularly Excel.
  • Resilient, responsible, attentive, organized and a great team player.
  • Able to perform under stress while meeting deadlines.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintains complete and supported records of all Sales Agreements, Contracts and Quotations, Event Orders, and Receipt/Invoices, clients' related information for the hotel.
  • Assist Event Sales team to plan all event and hotel experience details with the client - including set-up, food and beverage selection, menu tastings, audio visual needs, equipment rental, supplier details &/or referral, guestroom reservations, transportation, recreational activities, etc – and anticipate client needs while making suggestions to create a unique and memorable experience.
  • Prepare and detail Banquet Event Orders for all functions, group resumes and floor plans as necessary, and communicate and work with all departments of hotel involved in execution of functions in a timely manner.

REQUIREMENTS

  • Degree holder in in hospitality management or equivalent
  • Relevant working experience in a sizeable luxury hotel is an advantage
  • Detail oriented, organized and able to handle a fast paced environment
  • Possess excellent guest services skills, professional presentation, sophisticated interpersonal skills and strong multi-tasking skills
  • Excellent verbal and written bilingual communication skills is a must (both English and Chinese)
  • Strong computer skills, knowledge and experience in Sales Force and Opera system is a plus

  • Assistant to COO: Manage COO calendars, schedule meetings, and coordinate travel arrangements. Preparereports, presentations, and correspondence for COO. Support planning, coordination, and tracking of projects and initiatives by collaborating with various stakeholders to ensure deadlines are consistently met.
  • Event & Membership Management: Assist in planning and execution of various dinner and event functions etc; Ensure events are in line with the schedule and budget
  • Document Processing: Responsible for the writing, editing, and organization of daily operation documents, including but not limited to supplier orders, ingredient delivery notes, and inventory records. Check the sales reports submitted by each store to ensure data accuracy and file them in a timely manner.
  • Administrative Coordination: Assist in cross - departmental communication, convey headquarters' instructions to each store, collect store feedback and report it upwards. Arrange meetings, take minutes, summarize meeting resolutions, and follow up on implementation.
  • Administrative Support: Statistics the material requirements of each store, assist in the procurement application process. Handle the entry and statistics of employee attendance and shift schedules, and assist the human resources department with basic personnel affairs.
  • Data Management: Establish and maintain an operation database, including supplier information, ingredient price change records, and business data. Regularly update the data to ensure timeliness and effectiveness.

- Diploma / Bachelor degree in any discipline

We're seeking a passionate
Full Time Event Coordinator
to join our dynamic team in Hong Kong. Responsibilities

  • Plan and execute events from concept to completion, including pre-production, on-site coordination, and post-event wrap-up.
  • Manage teams of up to 10 staff and coordinate with multiple vendors, leveraging EGA's strong network of local service providers.
  • Build and maintain relationships with Hong Kong musicians, venues, and local authorities to ensure seamless event delivery.
