Purpose of the Job
The Operations Assistant is responsible for managing and coordinating logistics operations between the warehouse and various business units, ensuring timely order processing and accurate record-keeping. This role contributes to the overall efficiency of operations by addressing order-related issues, preparing necessary documents, and preparing reports for analysis.

Responsibilities
- Process orders in ERP, including SO creation, release of fulfilment order and stock transfer
- Responsible for logistics coordination in between warehouse and business units such as retail operations team, wholesales team and logistics team, including but not limited to coordinating with logistics team to ensure timely shipping and order delivery, and tracking shipments to ensure customers receive their orders as promised
- Address and resolve any order-related issues or discrepancies, including returns, exchanges, or damaged goods
- Verify vendor invoices and maintain all order records, ensuring accuracy and compliance with company policies and procedures
- Prepare all necessary shipping documents
- Perform day-to-day logistics and warehouse operations such as stock receiving, storage and claims etc.
- Prepare reports for management review, including generate reports to present order fulfilment performance and analyse order management metrics to identify trends and areas for improvement
- Assist with ad-hoc tasks and projects as assigned
Requirements
- Diploma or equivalent; specialised in logistics, supply chain management, or a related field is a plus
- At least 2 years of proven experience in warehouse operations or logistics management
- Strong computer skills, including proficiency in ERP system and Microsoft Office Suite, especially in Microsoft Excel
- Self-initiative, strong sense of responsibility, and multitasking abilities
- Good command of Chinese & English

This is a fixed-term contract position of 2-year with possibility for renewal subject to organisational needs and individual performance.
You Will Be Responsible For
- Assisting the Senior Manager, Museum Retail Sales and Business Development in daily front-of-house retail operations;
- Supporting retail supervisors with monitoring daily sales activities, staffing schedules, and productivity;
- Helping to maintain smooth operations on the sales floor;
- Coordinating basic client requests, internal orders, and service needs to support sales efforts;
- Assisting in the preparation of weekly sales reports and updates for management;
- Liaising with the IT team for minor system issues and trouble shooting;
- Supporting communication with internal teams, external partners, and stakeholders as needed;
- Performing other ad hoc tasks assigned by supervisors.
- Be a university graduate or possess a diploma in a relevant discipline;
- Have 1- 2 years of experience in retail operations, preferably in a multinational or customer-facing environment;
- Be familiar with retail point-of-sale systems (e.g., Xstore) and basic SOPs;
- Understand basic cash handling procedures and be willing to learn staff scheduling and performance tracking;
- Be a quick learner with a positive attitude and a collaborative mindset;
- Be proactive, detail-oriented, and willing to take initiative in a fast-paced environment;
- Be able to manage multiple tasks and prioritize effectively under pressure;
- Be organized, dependable, and eager to develop problem-solving skills;
- Be flexible to work irregular hours or shifts when needed;

Our client, is an international educational organization, is looking for an Operations Officer/ Assistant. As an Operations Officer, you will support the smooth delivery of exams by coordinating logistics, assisting with venue and staff arrangements, and ensuring secure handling of exam materials. You will play a key role in maintaining compliance, supporting customer service, and ensuring operational readiness on test days.
Job Responsibilities
- Assist in the coordination of test day logistics, including venue setup and staff scheduling
- Support the secure handling, storage, and dispatch of confidential exam materials
- Monitor test day dashboards and report any issues or risks to senior staff
- Respond to basic customer enquiries
- Maintain accurate records of materials with compliance procedures
- Work closely with internal teams and venue staff to ensure smooth test day operations
- Support audits and reviews
Job Requirement
- Experience in an operational or administrative role, preferably in a customer-facing environment
- Proficient in English and Cantonese
- Basic understanding of compliance, risk, and security procedures
- Strong organizational skills and attention to detail
- Good communication and teamwork abilities
