Our client is a local boutique firm in Asia, seeking a motivated and detail-oriented Senior IP/Patent Clerk to join the team in Hong Kong. This role will assist in managing patent applications, maintaining records, and supporting various legal functions.

Responsibilities:

• Assist in preparing and filing IP applications with relevant authorities
• Maintain and update IP portfolios and databases
• Conduct preliminary IP searches and assist in basic research
• Draft, prepare, and review contractual documents relevant to the Group's business
• Ensure compliance with company policies during the review and execution of contracts
• Manage correspondence with clients and offices
• Assist teams with the recovery of professional fees
• Monitor deadlines and ensure timely responses to communications
• Support the team in various administrative tasks as needed

Experiences:

• Diploma or above
• Strong attention to detail and organizational skills
• Proficient in Microsoft Office Suite
• Good written and verbal communication skills in English and Cantonese; Mandarin is a plus
• Interest in intellectual property or contract law
• Ability to work independently and collaboratively in a team setting
• Chinese Word Processing is required

The Opportunity

The IP Assistant will provide essential administrative and clerical support to our patent agents and trademark attorneys. This role is fundamental to the smooth operation of our firm and ensuring our clients receive timely and exceptional service. What You'll Do: Key Responsibilities

• Intellectual Property Docketing & Data Integrity: Proactively manage and maintain the firm's docketing system to track critical deadlines for international and domestic patent and trademark matters. You will be responsible for ensuring accuracy to safeguard our clients' valuable intellectual property rights.
• Document & Filing Management: Assist in the full lifecycle of IP prosecution by preparing, reviewing, and filing a variety of legal documents.
• Client & Foreign Associate Communication: Serve as a key point of contact for administrative matters. You will handle incoming and outgoing communications, draft routine reporting letters to clients, and correspond professionally with foreign associates and government agencies to coordinate filings and obtain status updates.
• Team & Attorney Support: Provide comprehensive administrative support to the team. You will also handle ad-hoc projects and tasks as assigned to support the firm's objectives.

Who You Are: Qualifications & Attributes

• Experience: You have a minimum of 2-3 years of administrative experience, ideally within a law firm. Direct experience in an IP practice is highly desirable and will set you apart.
• Education: Diploma or above / equivalent professional experience is preferred.
• Language: Good written and verbal communication skills in English, Cantonese and Mandarin.
• Technical Proficiency: You are highly proficient in the Microsoft Office Suite (Word, Excel, Outlook). Experience with IP docketing software, document management systems, and the online portals of various intellectual property offices is a strong plus.
• Unwavering Attention to Detail: You have exceptional accuracy and strong proofreading skills. You understand that even the smallest detail is critical in legal and procedural work.
• Master of Organization: You possess outstanding organizational and time-management skills. You can confidently prioritize a demanding workload, monitor deadlines and ensure timely response to communication.

Key responsibilities:

• Responsible for developing, implementing, and overseeing the intellectual property strategies and budgets for the Company.
• Provide strategic legal advice and counsel on a variety of licensing, intellectual property, commercial and other related topics.
• Evaluates inventions for intellectual property potential and works closely with external IP counsel to file for appropriate IP protection, i.e., patent applications, copyrights, trademarks, etc.
• Works closely with internal staff and groups to generate IP landscapes for invention disclosures to identify market opportunities.
• Actively identify and implement defensible technology within our organization.
• Develop and create IP protection strategies in new and ongoing JDAs. Implement the strategies.
• Advising, negotiating and drafting collaboration agreements, sponsored research agreements and other transactions where potentially patentable intellectual property will be developed.
• Maintain a Computer Packages (CPI) docket for tracking filing obligations for the entire IP portfolio.
• Establishes and maintains contacts with patent counsel.
• Stay abreast with our latest (and future) developments.

Requirements:

• At least 10 years of experience in Intellectual Property.
• You have operational experience in a high growth startup or similar environment.
• You are a problem-solver, capable of breaking complex problems into clear and prioritised actions with strong analytical and quantitative capabilities.
