The West Kowloon Cultural District Authority welcomes exceptional talent with a passion to realise the vision and mission of making the West Kowloon Cultural District a prime local and international destination for arts, culture and entertainment.
You Will Be Responsible For
- providing core support in managing the administration and financial matters such as resources allocation, recruitment exercise etc.; consolidate and generate records, report for management’s review;
- devising and leading an administrative system and workflows which support the effective management of the teams and the daily office administration of PA Division, on current office-wide as well as the venue-wide in the future;
- managing the planning and arrangements of office resources for the offices, including workspaces, equipment, office necessities, office general storage, daily office logistics etc;
- supervising multiple tasks, performing routine office and administrative tasks and liaising with various PA teams and the departments in WKCDA on authority-wide processes on ensuring the efficient daily running of PA Division;
- performing secretarial support for the Performing Arts Committee and Xiqu Centre Advisory Panel where necessary; and
- providing personal secretarial support to the management where necessary.
- possess a recognized university degree preferably in business administration, language, performing arts, arts or cultural studies, arts management, education or equivalent;
- have at least 8 years working experience, preferably with administrative experience in statutory body, non-profit making organization, institutions or other large organization;
- have good organization and planning skills, possess practical knowledge and experience in administrative duties;
- demonstrate strong administrative and multi-tasking skills, and high attention to details;
- demonstrate strong analytical, good interpersonal and communication skills, as well as self-motivated personality and be able to work independently and provide quality, timely support and delivery;
- possess understanding and experience of the different day-to-day office administration and operational workflows, and be able to coordinate with different teams, Divisions / Departments and working counterparts as required;
- have knowledge of the principles of office management including organization, work flow, forms, supplies, equipment, policies and procedures;
- be highly organized, reliable, self-motivated and able to work independently with problem-solving skills;
- have good interpersonal and communication skills; and
- have excellent oral and written communications skills in English and Chinese.

- Ensure venue safety, security, cleanliness, and regulatory compliance.
- Act as the main contact during emergency situations.
- Recommend operational improvements and venue design enhancements.
- Handle projects and tasks as assigned.
- University degree in performing arts, hospitality, tourism, or related fields.
- At least 8 years of relevant venue operations experience, including 4 years in a managerial role.
- Knowledge of front-of-house and event operations.
- Experience in developing performing arts venues.
- Strong customer service skills and positive attitude.
- Proven track record in delivering quality customer service.
- Good analytical skills.
- Proficiency in Cantonese, Putonghua, and English.
- Ability to work both indoors and outdoors.
- Willingness to work shifts, including weekends and public holidays.

Job Duties
- Plan and ensure smooth running of Performing Arts events
- Coordinate across internal departments for Performing Arts events
- Liaise with event materials vendors including vendor and quotation sourcing, materials logistics and setup
- Plan for signage and guest flow support for Performing Arts events
- Schedule and communicate with event helpers
- Monitor event budget and keep track of event expenses
- Manage administrative duties including consolidation of event overview, event scheduling, meeting documents and presentation materials
- Perform additional assignments as requested by supervisor
- Tertiary education or above
- Preferably have around 1 year of relevant experience in event management, performing arts, art and cultural functions
- Good knowledge of event and front-of-house operation
- Customer service mentality
- Good organizational skills
- Good oral and written communication in Cantonese, Putonghua and English
- Proficiency in Microsoft Excel, Powerpoint, Word and Outlook
- Able to work in outdoor environment
- Be required to work on shift according to the duty roster assigned including weekends and public holidays

- have 4 years of working experience of which 2 years of relevant experience are in venues, hotels or event production agencies;
- possess relevant experience in PA programme operations and have a good understanding of the PA scene in Hong Kong and Asia Pacific preferred
- possess a can-do attitude and customer service oriented mentality;
- strong interpersonal skills and ability to maintain good relationship with existing hirers, potential clients and internal stakeholders; and

You Will Be Responsible For
- achieve all WestK Performing Arts (PA) venues - Xiqu Centre, Freespace and WestK Performing Arts Centre - budgeted utilization and revenues target;
- hands-on role in promoting WestK PA venues to potential hirers and develop new business opportunities with hirer acquisition initiatives to achieve set KPIs;
- communicate and manage relationships with existing and potential hirers;
- manage, coordinate and confirm space availability with contribution to occupancy, income and artistic penetration;
- issue and process all venue booking related documents;
- coordinate with Artistic, Technical and Productions, Venue Operations and across departments for booking logistics and execution;
- stay connected with industry and relevant venue partners with access to most updated market information and conditions;
- manage and support business projects which include liaison and contractual work with partners and vendors
- possess a recognised university degree in performing arts/cultural studies, hospitality/tourism, business management or equivalent;
- have 4 years of working experience of which 2 years of relevant experience are in venues, hotels or event production agencies;
- possess relevant experience in PA programme operations and have a good understanding of the PA scene in Hong Kong and Asia Pacific preferred
- possess a can-do attitude and customer service oriented mentality;
- strong interpersonal skills and ability to maintain good relationship with existing hirers, potential clients and internal stakeholders; and
- be proficient in written and spoken English and Chinese

Job Duties
- Plan and ensure smooth running of Performing Arts events
- Coordinate across internal departments for Performing Arts events
- Liaise with event materials vendors including vendor and quotation sourcing, materials logistics and setup
- Plan for signage and guest flow support for Performing Arts events
- Schedule and communicate with event helpers
- Monitor event budget and keep track of event expenses
- Manage administrative duties including consolidation of event overview, event scheduling, meeting documents and presentation materials
- Perform additional assignments as requested by supervisor
- Tertiary education or above
- Preferably have around 1 year of relevant experience in event management, performing arts, art and cultural functions
- Good knowledge of event and front-of-house operation
- Customer service mentality
- Good organizational skills
- Good oral and written communication in Cantonese, Putonghua and English
- Proficiency in Microsoft Excel, Powerpoint, Word and Outlook
- Able to work in outdoor environment
- Be required to work on shift according to the duty roster assigned including weekends and public holidays
