- Ensure appropriate use and organization of resources for curriculum implementation.
Program Coordination:
- Take on a leading role in the development and review the efficacy of co-curricular programs, e.g., clubs, gatherings, week without walls, or student advisory.
- Lead and/or support the coordination of key events (e.g., New Student Orientation, Back-to-School-Night, Parent Teacher Conferences, Self-motivated Learning Project, school trips).

Head of Administration
As a senior member of the School, the appointee will work together with other Heads/Directors to assist the Dean. The appointee has to demonstrate the overall leadership to oversee the administrative functions and services within the School in areas such as budgets and finance, human resources, IT services and facilities management to manage and deploy resources and to ensure the financial robustness of the School.
Responsibilities:
- Lead the strategic integration of governance, finance, human resources, and project management to align with the institutional objective;
- Supervise the governance, planning, implementation, and assessment of major School development initiatives, including the Migration project;
- Proactively champion change management initiatives, leading the organisation through substantial transitions, including restructuring and the adoption of new systems, to ensure an effective adaptation process;
- Oversee the formulation and administration of the School's annual budget while ensuring alignment with long-term financial strategies;
- Provide strategic leadership for all human resources functions;
- Oversee the operations of administrative team that supports a diverse range of functions, ensuring operational efficiency and excellence in service delivery;

Requirements:
- A bachelor's degree in Business Management, Accounting, Finance or related disciplines, preferably with a higher qualification;

- Excellent communication and presentation skills with high proficiency of English and Chinese (including Putonghua), with a demonstrated ability to engage and energise stakeholders at all levels;
- Proven leadership skills with a track record of team management and development; and
- Expertise in corporate governance frameworks and regulatory requirements would be an advantage.
Appointment Terms:
Subject to the final approval of the University Council, the School of Continuing Education is preparing for a possible migration in a few years' time to be an independent New College entirely owned by the University. The initial appointment of the recruited post will first be made on a fixed-term contract of a period up to the time of the School's possible migration, which should be about two years. Upon satisfactory performance of the appointee, at the expiry of the first contract the appointee would have a chance to have a fresh career development on a parallel role in the freshly started New College to spearhead the overall administration there.
Salary will be commensurate with qualifications & experience.

● Greet and welcome visitors and all walk-in traffic (of families, colleagues, students) professionally and politely at the reception area, liaising with various parties for visit logistics by maintaining the visitor log, and offer support.
● Provide excellent customer service as expected from a premium international school. Assist all guests, parents, students, and colleagues who approach the school office/reception desk. Address their questions, and/or take notes on the requests, and deliver them to the appropriate parties.
● Update, maintain, and ensure parents' contact information is accurate in assisting students.
● Handle diverted telephone and email enquiries from parents and inform the staff concerned accordingly.
● Receive deliveries to the School Office, and perform daily mail and courier arrangements.
● Ensure the office and the reception areas are tidy and presentable.
● Support Admissions as the first point of contact in the sales process and support all school departments in taking phone calls at reception. This will include Admissions, HR, Finance, and the various faculty departments.
Attendance
● Monitor and manage attendance with teachers, parents, students, sub-teachers & supervisor.
● Collect daily attendance records and report as required.
● Sign in students arriving late and sign students out when departing early.
● Follow up with families when students are absent.
Administration
● Assist in general office administration, i.e., stationery and office supplies ordering and maintenance.
● Provide secretarial support to the office admin team.
● Assist in school events, functions, and any other ad-hoc activities, e.g., fire drills.
Others
● Manage lost and found properties.
● Oversee students waiting to be picked up after school.
● Carry out duties such as dismissal and other tasks as reasonably directed by the Head of School or their delegated responsible person.
● Assist the Transport Administrator in drawing up the daily Bus list requirements, and booking of buses for trips (as required).
Support other business needs of the school during school breaks as assigned by the Head of Communications.
Position Requirements
- Good interpersonal and collaboration skills
- Able to work independently with little or no supervision
- Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people
- Excellent time management skills and ability to multi-task and prioritize work
- Excellent written and verbal English and Chinese, ability to speak Mandarin is a plus
- Proficiency in computer skills
