Job Description

  • Oversee daily office functions, ensuring smooth operations aligned with firm standards and local regulations
  • Manage vendor contracts, space planning, facilities, supplies, and insurance
  • Ensure compliance with global/regional policies and reporting requirements
  • Supervise the Office Admin & Operations team including receptionists, mailroom staff, pantry assistants, office assistants etc
  • Communicate and engage effectively with senior stakeholders and cross-functional teams
  • Provide training, performance feedback, and resource planning for team members
  • Foster a culture of best practices and continuous improvement
  • Ensure adherence to firm-wide and local operational policies and procedures
  • Manage operations budget, forecasts, and business planning
  • Oversee space and headcount planning


The Successful Applicant

  • Higher Education in business administration, facilities management, or relevant
  • Over 10 years' solid experience as an office admin / operations / facilities manager - preferably from international banks, professional services firm
  • Strong stakeholder management, communication, and interpersonal skills
  • Experience in managing and supervising sizable teams
  • Proficient in English, Cantonese and Mandarin
  • Strong MS Office skills and good overall IT literacy

Primary Purpose

On-site role supporting Health Service Team in Hong Kong and remotely Japan with daily administrative tasks, ensuring smooth operations and coordination. Key Responsibilities

  • Support Program Manager with daily administrative tasks, including emails, calls, meetings, and visitor coordination.
  • Assist with medical case management, including collecting employee information, scheduling medical appointments, and managing records.
  • Collaborate with team members in Hong Kong and Japan, providing administrative support as needed.

  • Organize conferences, training, and meetings, including multimedia needs.
  • Manage phone lines and ensure accurate message delivery and provide phone coverage with other assistants during absences.

  • Create and format presentations and documents.
  • Adhere to compliance regulations and secure approvals.
  • Organize team social activities and events.
  • Update internal webpages.
  • Assist with Benefits and Wellness events.
  • Provide broader support and ad-hoc administrative assistance as needed.



Required Experience And Qualifications

  • Bachelor's degree in business administration, management, or a related field is often preferred.
  • Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with managing IT systems and tickets.
  • Good communication fluency in English (Chinese and/or Japanese a plus).
  • Prior experience as an assistant, or in an administrative and/or customer service role.
  • Solid organizational skills and capability to multi-task and prioritize effectively, strong attention to detail.
  • Excellent interpersonal skills and teamwork; ability and willingness to work collaboratively amongst assistant team based both locally and globally.
  • Strong work ethic with a positive attitude and growth mindset.
  • Ability to work well under pressure and stay professional in a busy environment.
  • Discretion-ability to always handle sensitive matters confidentially.
  • Able to complete meeting minutes without recording/AI assistance.

  • Provide general office administrative support such as ordering stationery, maintaining office supplies, business cards, managing mail services, processing expense claims and invoices

  • Plan, organize and execute company events such as annual dinner, Christmas party, summer carnival, fun workshops
  • Provide secretarial support to leaders in HKBO

We welcome you to visit us at The Admin Assistant supports the office wide administrative duties as well as the VP Head of the Hong Kong Buying Office. The incumbent is required to understand the business, coordinate with internal and external parties, maintaining workflow by refining standard operating procedures and achieving organizational goals.
Job Responsibilities

  • Provide general office administrative support such as ordering stationery, maintaining office supplies, business cards, managing mail services, processing expense claims and invoices
  • Assist in the coordination and logistic support in office accommodation, renovation, maintenance
  • Plan, organize and execute company events such as annual dinner, Christmas party, summer carnival, fun workshops
  • Provide secretarial support to leaders in HKBO
  • Schedule and coordinate internal/external meeting arrangements
  • Coordinate and prepare meetings include materials and minutes
  • Coordinate with internal and external parties proactively and independently
  • Compile and extract data for presentations and reports
  • Manage vendors and service providers’ contracts
  • Explore regional trade shows to attend
  • Perform ad-hoc projects and tasks as assigned by supervisor
Job Requirements
  • Minimum 1 year of working experience in office administration
  • Good command in written and spoken English
  • Proficient in Microsoft Office
  • Attention to detail and accuracy
  • Good communication and interpersonal skills
  • Can-do and willing to learn attitude
  • Independent, Responsible, detail-minded and proactive

  • Manage the end-to-end recruitment process for non-managerial positions, from job description development, selecting appropriate job posting channels, screening/shortlisting candidates, conducting/coordinating interviews, to preparing offers, contracts, onboarding, and induction for new hires
  • Implement, update, and monitor HR policies, SOPs, and forms to maintain compliance with company practices and local legislation
  • Plan, organize, and coordinate staff activities and engagement events
  • Participate in HR projects, development programs, and ad hoc assignments
  • Support office administration duties, including maintain office supply inventory and placing orders as required, support maintenance of office equipment, facilities, and vendor relationships, etc.

Job Requirements:

  • University graduate in Human Resource Management or related disciplines
  • At least 3 years of related work experience in matrix reporting structure is preferred
  • Good interpersonal skills and ability to deal with colleagues at different levels
  • Self-motivated and able to handle multi-tasks independently
