What will you be doing?

  • Administrative support for offices in Singapore, Hong Kong and Japan: communication with accounting and HR service partners, invoice processing and filling, monitor service renewals, document filling, reports, expenses monitoring and any other administrative and management task for the daily operation of Asia offices.
  • Participate and minute meetings of the Managing Director with customers, internal Navarino Group departments, and with the local offices. Take minutes and follow up on actions.
  • Monitor commercial campaigns in Asia and maintain reports and records.
  • Coordinate with other stakeholders in Asia to maintain customer and market share reports.
  • Support activities for customer projects as required.
  • Support and coordinate marketing activities for Singapore, Hong Kong and Japan offices (events, exhibitions)
  • Deal with routine e-mails and telephone calls as appropriate on the behalf of MD Asia-Pac
  • Co-ordinate with employees in Hong Kong, Singapore and Japan for the operational requirements of local offices.
  • Liaise with the various Accounting and HR support business partners in Hong Kong, Singapore and Japan
  • Liaise with other Navarino departments and personnel, as required, for the effective coordination of activities involving them.
  • Communicate with customers and resellers to support commercial department requirements as required.
  • Other (ad hoc) tasks as required by MD Asia-Pac

Requirements

  • Education: University Degree (in business or technology)
  • Technical Knowledge: familiarity with MS Office, a basic IT working understanding is a plus
  • English: For customer facing roles C1-C2 or equivalent.
  • Highly organized with attention to detail

Great to have:

  • Other languages: Cantonese or Mandarin is a plus
  • Professional experience: 1-5 years' experience in commercial or operations administrative support roles

Job Description

Private Banking is involved with every facet of wealth management, including investments, wealth structuring, philanthropy, liquidity and credit management, as well as tax and estate planning. As a Banker in our Wealth Management business, you will understand each client’s wealth objectives and investment requirements, working closely with specialists to propose, deliver, and execute solutions, as well as identify new business opportunities.

Job Responsibilities
  1. Support and manage all aspects of client relationships across the team; develop and maintain long-term relationships through professional and personal networks.
  2. Operate in both banker and investor capacities, coordinating with various teams on account inquiries, maintenance, and investment-related matters.
  3. Articulate and deliver strategic messages to clients, prepare presentations and proposals, and handle orders across asset classes. Keep clients updated on markets, portfolio performance, investment opportunities, and risks.

  • Bachelor's degree or equivalent with at least 15 years of wealth management experience and strong client and stakeholder management skills.
  • Proven client management and effective communication skills (oral and written), with the ability to positively engage and influence clients and internal stakeholders.
  • Strong organizational and prioritization skills.
  • High integrity and risk awareness.
  • Team player capable of working across different functions within the bank.
  • Experience reporting to senior management and contributing to strategic initiatives.
Preferred Qualifications, Skills, and Capabilities
  • Experience in a wealth management firm, dealing directly with clients in investment advisory and relationship management roles.
  • Knowledge of private banking regulatory and control environments, with the ability to manage accounts accordingly.

Executive Secretary (Japanese) (Fintech Co. - Assist to Managing Director)

Established company under a Hong Kong listed group, one of the leading fintech firms providing financial solutions with advanced technologies.

Responsibilities & Accountabilities
  • Organize and prepare meetings with Japanese partners or clients, including taking meeting minutes;
  • Arrange travel and handle related materials, such as hotel bookings in Japan;
  • Communicate effectively with Japanese suppliers and vendors, follow up on project progress, and resolve issues promptly;
  • Manage documents such as contracts and filings efficiently;
  • Assist with industrial and commercial registration, changes, and annual inspections of the Hong Kong company to ensure compliance;
  • Perform ad-hoc duties as assigned by superiors.
Qualifications & Experience
  • Knowledge of Japanese business culture and etiquette; experience working in Japan is preferred;
  • At least 5 years of experience as a Personal Secretary, familiar with meeting organization, document management, and business travel arrangements;
  • Strong attention to detail and work process control;
  • Responsible, organized, proactive problem solver, able to complete tasks on time;
  • Proficient in English and Chinese writing skills.
